1. Introduction

This Privacy Policy explains how Accomium ("Accomium", "we", "us" or "our") collects, uses, stores and protects information when you use our cloud accounting service (the "Service"). By creating an account or otherwise using the Service, you acknowledge that your information will be handled as described in this policy.

2. Information we collect

We collect the following categories of information in connection with the Service:

  • Account information - name, email address, phone number, company details, billing address and password (stored as a salted hash, never in plain text).
  • Financial and transaction data - the ledger entries, invoices, bills, bank transactions, contacts, tax records and other business data you or your team enter into, import into, or connect to the Service.
  • Payment information - subscription and billing details, processed on our behalf by a third-party payment processor (see Section 4). We do not store full payment card numbers on our own servers.
  • Usage and analytics data - log data, device and browser information, IP address, pages visited, and feature usage, collected to operate, secure and improve the Service.
  • Cookies and similar technologies - see Section 7.

3. How we use your information

We use the information described above to:

  • Provide, operate and maintain the Service, including generating your ledger, reports and financial statements.
  • Process subscription billing and send related notices.
  • Authenticate accounts and protect against fraud, abuse and unauthorized access.
  • Respond to support requests and communicate service updates.
  • Analyze usage to diagnose problems and improve the Service's features and performance.
  • Comply with legal obligations, including tax, accounting and record-keeping requirements.

We do not sell your financial or account data to third parties.

4. Data storage and security

Your data is encrypted in transit (via TLS) and at rest, consistent with bank-grade encryption standards. Access to production systems and customer data is restricted to authorized personnel on a need-to-know basis, and access is logged. No method of transmission or storage is completely secure, and while we work to protect your information, we cannot guarantee absolute security.

5. Third-party processors

We share limited information with trusted third-party service providers who help us operate the Service, including:

  • Payment processors - to securely handle subscription billing.
  • Cloud hosting providers - to store and process data on infrastructure we operate.
  • Email and communication providers - to deliver account and transactional notifications.
  • Analytics providers - to help us understand aggregate usage of the Service.

These providers are contractually bound to protect your information and to use it only to provide the services we engage them for.

6. Data retention

We retain account and financial data for as long as your account is active, and for a reasonable period afterward to comply with legal, tax and accounting record-keeping obligations, resolve disputes, and enforce our agreements. You may request deletion of your data as described in Section 8, subject to those retention obligations.

7. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling certain cookies may limit some functionality of the Service.

8. Your rights

Depending on your location, you may have the right to access, correct, export or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details in Section 11. We will respond to verified requests within a reasonable timeframe and consistent with applicable law.

9. Children's privacy

The Service is intended for businesses and is not directed at children. We do not knowingly collect personal information from children, and any account holder is expected to be old enough to enter into a binding contract in their jurisdiction.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice, such as by email or through the Service, before the changes take effect. The "Last updated" date above reflects the most recent revision.
